This is the most important step in onboarding. Log into your CRM and work through all four tasks in one session. Each one builds on the last.

Add BoxEx to Your New Member Onboarding

New members are paying the most attention in their first few days. That is when this message lands best. Adding it to your new member onboarding sequence means every new member automatically learns about their BoxEx access - without you doing anything each time.

Add this as a Day 3 or Day 7 email in your new member automation. After they have had a chance to settle in, this is the email that gets them excited about their full membership.

The link they need: theboxexchange.co/Request-Access - this is where new athletes request to join your gym's BoxEx roster. When they submit the form, you get a confirmation email and can approve them with one click. Use your gym's email address as the gym identifier in the form.

New Member Email - Add to Day 3 or Day 7 of Onboarding Subject Line: One more thing you now have access to

Now that you have had a few days to settle in, we wanted to make sure you knew about one of the benefits that comes with your membership here.

{Gym Name} is part of The Box Exchange Network - the CrossFit drop-in network connecting affiliates across the country. As one of our athletes, you have a free first class at any participating BoxEx gym when you travel.

To activate your access, visit the link below and use your email address to connect to our gym's roster. Once we confirm, you are set.

Reach Out to Past Members

Past members left for a variety of reasons - life changes, work, injury, timing. Many of them still think fondly of your gym. A message with genuine new value is a real reason to reach back out. Send these two emails about a week apart.

Past Member Email 1 Subject Line: Something new at {Gym Name} - thought of you

Hey {First Name},

We have been thinking about you and wanted to share something new we just added at {Gym Name}.

We recently joined The Box Exchange Network, which gives our members access to CrossFit gyms across the country when they travel. It is a benefit we are genuinely excited about and it made us think of you.

If the timing ever feels right to come back, we would love to have you. The door is always open here and we would be glad to catch you up on everything that has changed.

Reconnect With Prospects Who Never Joined

People who showed interest but never committed often just needed a better reason or a better moment. A new benefit is a real reason to reach back out without it feeling like a sales push. Send these two emails about a week apart.

Prospect Email 1 Subject Line: Something new that might change things for you

Hey {First Name},

You showed interest in {Gym Name} a while back and we have been meaning to reach out. We recently added something new that we think is worth sharing with you.

We just joined a national network called BoxEx that gives our members access to CrossFit gyms across the country when they travel. So on top of everything you would get here - great coaching, a real community, results that actually stick - your membership would also work in any city you visit.

If the timing feels better now, we would love to have a conversation. No pressure - just wanted you to know what is available.

How To Add This Email To Your CRM

Click your platform below for step-by-step instructions. If yours is not listed, use the General guide at the bottom - it works for any system. And if you get stuck, book the 15-minute call below.

1 Log into your Wodify Admin dashboard.
2 In the left menu, click Communication, then Settings, then Automated Email.
3 Look for a trigger called "New Membership" or "Member Welcome." Click to edit it.
4 Scroll to the email body. Add the BoxEx message from Task 1 above. Include the activation link: theboxexchange.co/Request-Access. You can schedule it to send 3-7 days after the member joins using the delay settings.
5 Click Save. Done.
If you have Wodify Workflows enabled, you can also trigger this from Workflows - look for the New Member Journey template and add an email step at Day 3 or Day 7.
1 Log into your PushPress Core dashboard.
2 If you have PushPress Grow: Go to Workflows in the left menu. Look for the "New Member Journey" or "CrossFit New Member" template. Open it and add a new email step at Day 3 or Day 7 using the BoxEx message from Task 1 above.
3 If you do not have Grow: Go to Communication in the left menu. Click Email All Members. Set up a saved template with the BoxEx message so you can send it manually when a new member joins, or set a recurring reminder to send it to new members each week.
4 Include the activation link: theboxexchange.co/Request-Access. Click Save.
PushPress already sends a welcome email automatically when a plan is assigned. The BoxEx email should go separately, 3-7 days later, once the member has had a chance to settle in.
1 Log into your Zen Planner staff dashboard.
2 Go to Setup in the top navigation, then find Document Templates under the Communication section.
3 Click + Add A Template. In the pop-up, set Report to "People" and name it something like "BoxEx New Member Email."
4 Paste the BoxEx message from Task 1 into the email body. Include the activation link: theboxexchange.co/Request-Access. Use the Tags dropdown to insert the member's first name as a personalization tag. Click Save Changes.
5 To automate it, go to Setup > Automations. Create a new automation triggered by New Membership with a 3 or 7-day delay. Select your new BoxEx template as the email to send.
If you use Zen Planner Engage, you can set this up as a campaign triggered by new membership enrollment - look for the onboarding campaign templates.
1 Log into your Mindbody Business account.
2 Go to Marketing in the top navigation, then click Email Marketing or Automated Emails.
3 Click Create Automation or New Email. Set the trigger to New Client or First Purchase with a 3-7 day delay.
4 Paste the BoxEx message from Task 1 into the email body. Include the activation link: theboxexchange.co/Request-Access. Click Save and Activate.
Mindbody's email automation interface can vary depending on your plan level. If you cannot find the automation trigger, look under Marketing Campaigns or contact Mindbody support.

Every CRM is different but they all have the same underlying feature. You are looking for one of these things - search your CRM for any of these terms:

Search your CRM for:

- "Automated emails" or "Email automation"

- "Workflows" or "Sequences"

- "New member onboarding" or "Welcome series"

- "Triggers" or "Campaigns"

1 Find where your CRM sends automated emails to new members. This is usually under Communication, Marketing, or Automation settings.
2 Create a new email or add to an existing onboarding sequence. Set the trigger to fire 3 to 7 days after a new member joins.
3 Paste the BoxEx message from Task 1. Include the link theboxexchange.co/Request-Access and tell the member to use their email address to connect to your gym.
4 Save and enable. Test it by sending a preview to yourself first.
If your CRM does not support automation at all, a simpler option is to save the BoxEx email as a template and manually send it each week to any new members who joined that week.
